5. Negotiations with the club.
A club is a place interested in the maximum return on the investments made to keep the establishment functioning, while always counting on a certain number of regular visitors. When choosing a place to hold your event, have an accurate idea of what kind of audience the club has, what events take place there, how people feel about this place, what musical format dominates at the usual parties of the establishment. It makes no sense to hold an event where the main musical direction will be house, in a place where the format is europop or to do trance - a party in a club where lounge is played - the main format of the establishments is developed for a certain audience, which makes up the regular customers of the place, and you are unlikely to be allowed a one-time event to scare away this audience, which has been developing for some time through the efforts of the club. Any club has a reputation, which it gains in the eyes of partygoers after a certain time of operation.
If the opinion that you definitely need to know about is not the best (and you should listen to constructive feedback, and even better - to the opinion of people who have had experience working with the establishment), then try to evaluate how true it is if you have not been there never during parties, evaluate your ability to change the prevailing opinion of the audience so that the audience goes to this club, and if, after analyzing the situation, you are sure that the place you have chosen is exactly what you need, start acting. The event plan you prepared in advance is the first thing you present to the club administration when making a proposal to hold a party. With a well-drafted plan, after reading it, the administration must decide whether it sees the need to hold your event in its club or not.
All floating issues (for example, the date of the event, division of organizational functions, proper functioning of the wardrobe, amendments to the budget if it is expected to be allocated by the club) are resolved based on mutually beneficial conditions. You must have the maximum possible guarantees for the drawn up plan, which, by and large, for the club administration is just a piece of paper on which everything is written (you can write, as you understand, anything you want, but not always do it). Therefore, during the negotiation process, you risk being unfounded if you do not back up your proposal with some guarantees - you need them in order for the negotiations to end with a positive result for you. What can be your guarantee for the club?
- A signed cooperation agreement with sponsors (if any).
- Confirming factors of the agreement on the placement of advertising information in the media (there is no point in signing an agreement on advertising until there is an agreement with the club where the advertised event will take place).
- List of preliminary distribution of printed products.
If at least one of the above points is present, you have a chance to conduct successful negotiations and achieve positive results. If the organization of the event is planned to be divided between you and the club, then the conditions must be negotiated based on the capabilities of the club (this will make the work easier for both you and the club). For example, if a club has its own permanent channel for producing printing or posting information in some club-specific publication, then you can calmly stipulate these conditions so as not to waste energy on what already constitutes an established system in the work of the club for its own promotion, taking up the amount of work on your part. If the results of negotiations with the club are positive, in order to avoid failure to fulfill any conditions on its part (unfortunately, this is not uncommon today), sign an agreement “On the provision of show program services” between you with an exact list of all conditions, signing it from the club director (not the art manager!) and putting the seal of the establishment. If one of the parties fails to comply with the guarantees, the other may act under the conditions that will be specified in this agreement.

The office writes
Feel free to make long lists: a guest list, a shopping list, a list of drinks to buy. Post these lists on the refrigerator or other visible place and be sure to put them away before guests arrive.
watch out for the car
There is no need to strive to intoxicate guests into the state of green devils. In some civilized countries, guests who get into an accident while intoxicated can sue the hosts if they allowed them to drive while drunk. Write down the telephone numbers of taxi companies in a visible place near the telephone.
"Drinks" love the score
First of all, you need to count the number of invited men, add 3 to the resulting figure (this is in case unplanned guests arrive during New Year's Eve). Now we determine the number of strong drinks - one bottle per male head. If there are ladies in the company who also respect vodka, then we add more - at the rate of 1/2 bottle per lady’s head. As for beer, it is bought per case for four people. Wine is purchased per bottle per person.
Show yourself
A holiday dinner usually lasts longer and has several courses. You shouldn’t turn into a one-time sommelier and frantically calculate which wine will go with which dish: modern rules in this regard are more relaxed. Each guest should have about half a bottle of wine during the feast. During a party with minimal appetizers, guests tend to drink approximately four to six glasses of wine over a three-hour period.
Dinner is served!
For guests to feel well, they need to eat approximately 120g of snacks, preferably high in starch and protein. Salty, sweet and fatty foods increase thirst. Prepare to serve coffee to guests before they leave.
Within reach
The bar and snack table should be located in a place accessible to all guests, so that everyone can quench their thirst and hunger without resorting to the help of a forced volunteer.
Equal opportunities
Offer all guests, including ulcer sufferers and teetotalers, delicious non-alcoholic drinks: punch, mineral water, Coca-Cola. Stock up on good cognac or whiskey for gourmets who prefer drinks with or without ice.
Time to sleep
Some guests may need to stay overnight, so have sleeping arrangements ready. The next morning, guests will have to wash and comb their hair, so prepare toothpaste, brushes, combs and towels in advance. And alka-seltzer, of course!

Food and drinks - the main thing is to use moderation
The rules of behavior at a corporate party say: “Don’t overdo it!” And this applies not only to liberties in clothing, but also to drinks with food. You need to behave according to etiquette at a corporate event. Under no circumstances should you get drunk and overeat, no matter how much you want to. The abundance of free food and booze is very tempting, but if you are against jokes being made about you the next day or making dirty jokes, it is better to abstain. It is unlikely that you will be able to completely give up alcohol unless, of course, you cannot drink for health reasons. And sipping a few glasses of wine or champagne without driving yourself into unconsciousness is quite acceptable.
Follow the basic rules:
- don't drink too much;
- do not be fooled by colleagues’ persuasion to drink for company;
- do not drink stronger drinks than you are used to;
- don't overeat.
Reasonable dosing of alcohol and food will allow you to be in a clear mind, control everything that happens around you, and also will not give rise to discussions behind your back.
“Wrap it with you, please!”
If you suddenly feel like you missed that salad or didn’t take a bite of a tempting-looking cake, then taking a bag out of your purse or pocket and putting it all inside at the end of the evening with a smart expression on your face would be in bad form. Even if you have nothing to eat at home, and a mouse has been “hung” in the refrigerator for a long time, don’t do this! The food will remain on the tables no matter what, but it cannot be taken out. Putting cutlets, chops or sliced sausage in bags is generally unacceptable. Take one last look at the food that will last you for another week, exhale loudly and quickly go home.
